Welcome to Student Government Student Media (SGSM): AGS, Anteater Express, ASUCI, Concierge, KUCI, Marketing, and Yearbook.

I will be placing you in UCPath for your paid positions. If you are new to payroll, I will provide your contact information to UC Irvine Campus Onboarding who will reach out to you for the I-9 process. Once you have been approved, I will place you in UCPath. If you currently have an active paid position on campus, I will go ahead and place you in UCPath. You will not need to complete the I-9 process again. For details about I-9, see section below.

Once you have been entered in UCPath, you must set up your direct deposit – bank information. Please see section below under DIRECT DEPOSIT for instructions.

KUCI student volunteers will not need to be placed on payroll. However, please view KUCI section to the right for additional information.

If you are an international student, please view the section under INTERNATIONAL STUDENTS below.

Certain positions will require a mandatory background check/livescan clearance from UCIPD. Please see your section to the right and also the below for BACKGROUND CHECKS.

If you do not receive your scheduled payment(s), please let me know as soon as possible. If you are onboarded at a later date from your effective start date of appointment, you will receive retroactive payment(s) as UC Irvine Campus Onboarding and UCPath approvals may be delayed.

All AGS Executives must complete a mandatory livescan clearance.  See BACKGROUND CHECK below.  
 
AGS Commissioner – Chief of Staff will also require a background check.  All other AGS Commissioners are excluded from this requirement.    
 
Three SGSM documents must be completed.  These documents are completed through DocuSign.  SGSM HR Manager will send you a link to complete the following:
1. SGSM Criteria Appointment
2. HR Confidentiality Agreement
3. SGSM GPA and Student Conduct Agreement
Before I can place you in UCPath, I must receive PRIOR APPROVAL from your academic department as Graduate Division Office requires this approval, so that your fellowship or academic appointment will not be jeopardized due to your AGS paid position.
 
If you are an International student, please let me know as there are restrictions that we must adhere to with the Graduate Division Office and UCPath.  In addition, see section below under INTERNATIONAL STUDENTS for further instructions.
 
You will be paid on a monthly cycle as based on your academic position; exceptions may apply if you do not have another paid position on campus.  No timesheet is required.

Hourly paid students will be required to submit a timesheet since you will be paid on a biweekly cycle, every other Wednesday.  See TIME REPORTING SYSTEMS (TRS) section below.

All ASUCI Executives, Chief of Staff, SAG, and Elected/Appointed positions working with minors (e.g. high school students) will require a mandatory background check.  See BACKGROUND CHECK section below.

BACKGROUND CHECKS

All background checks will take place at UCIPD and you will not be responsible for the fees.  Due to COVID-19, UCIPD Livescan Office is currently closed.  UC Irvine Campus Onboarding will reach out to you to schedule a time to be completed online through HireRight.  International students will need to provide your social security numbers before an appointment can be scheduled at UCIPD.  You may need to wait until your new SS card arrives if you are in the process of applying for a SS card.

DIRECT DEPOSIT

Once you have been placed in UCPath, you will need to set up your bank information via direct deposit.
In UCPath, access the Direct Deposit page utilizing one of the following paths:

Employee Actions > Income and Taxes > Direct Deposit

INTERNATIONAL STUDENTS

If you do not yet have a social security card, please let HR Manager know once you have been offered the position.  HR Manager will send you a letter confirming your paid position with SGSM.  You will need to take this letter to the UC Irvine International Center to obtain their signature.  Once approved, you will take this letter and all of your important documents (bring your passport, visa, identification, I-20, and I-94) to the Social Security Administration Office (location of your preference).  You will receive your social security card in the mail approximately two weeks after.  Upon receipt, schedule an appointment with the HR Manager and bring your original social security card, so your ID numbers will be entered in UCPath.  Please do not email/PDF attachment to HR Manager.  It is against University policy to send sensitive documents electronically.

TIME REPORTING SYSTEM (TRS)

Students who are paid on an hourly rate will be required to submit a timesheet.  You will be paid on a biweekly cycle, every other Wednesday. Visit TRS to view the deadline dates for timesheet submission. Visit the link below.

WHAT IS I-9?

Employment Eligibility Verification.  Form I-9 verifies the identity and employment authorization of individuals hired for employment in the United States. As a paid employee of the University, your I-9 must be completed and approved before SGSM can place you in UCPath to be paid. You will meet with a representative from UC Irvine Campus Onboarding to complete the paperwork.  You will be required to provide original documentation.  A List of Acceptable Documents will be provided to you once you schedule an appointment with UC Irvine Campus Onboarding.  This applies to all US citizens and noncitizens.  
 
If you were previously on payroll before, you may need to complete the I-9 process again depending on the date of appointment termination.

WHAT IS UCPATH?

UCPath is the University of California’s single payroll and benefits system for all UC Irvine employees. This website is a gateway to UCPath Online and UCI’s support center – the Employee Experience Center. It also provides UCPath information, tools and resources for UC Irvine employees and transactional users.
